Robot Com ("we," "us," or "our") builds D voice — a service that records phone calls, consultations, and clinical visits, turns them into text (speech-to-text), and layers on AI features like summaries, speaker labeling, translation, and quality analysis. This policy explains, in plain terms, what information moves through D voice, what we do with it, and the choices you have. It also explains how we meet U.S. privacy laws, including HIPAA (the federal health-privacy law), the CCPA/CPRA (California's consumer-privacy law), and COPPA (the children's online privacy law).

Who's responsible for what D voice is a business tool. Our customers — hospitals, clinics, and other companies — use it to record and manage their own calls and conversations. For the people on the other end of those conversations (patients, callers, and so on), it's our customer, not us, that decides why and how their information is used. In legal terms, the customer is the "controller" (or "covered entity" in healthcare) and we're the "service provider" (or "business associate"), acting only on the customer's instructions. There's one thing we're directly responsible for: the account details of the customer staff who log in and use D voice. This policy covers both roles.
